Detailed accounts from three engagements

Case Study 1

Online fashion retailer — Order Status Assistant

The situation

A Kelantan-based retailer selling batik and modest fashion online was receiving sixty to eighty order status queries per day across three platforms. Staff answered most between 8 AM and midnight, often repeating identical messages.

What we did

Starter Assessment first (RM 120), which confirmed the volume and consistency of the query type. Then Order Status Assistant setup (RM 405), connecting to a single consolidated spreadsheet the client prepared. Reply wording agreed across five status types. Two-week supervised period: 284 query instances reviewed.

Outcome

At go-live, the assistant handled approximately 60% of queries independently. The remaining 40% — involving delivery disputes, payment issues, and unusual statuses — were flagged to staff. Staff WhatsApp response time on non-assisted queries improved as the volume they handled was smaller.

Case Study 2

Catering business — Assessment recommending delay

The situation

A Bachok catering business with strong seasonal variation — very busy during wedding and Raya seasons, slower at other times — was considering an order status assistant for their event booking queries.

What we found

The assessment identified that their query patterns changed significantly by season: different question types, different urgency levels, different staff availability. Setting up an assistant during a quiet month would not prepare it for Raya-season query volume and complexity. A system set up without this context would handle quiet periods adequately but struggle when it mattered most.

Recommendation

Wait until a period that reflects peak query patterns before doing setup. We suggested they return in November to set up across the December–January season, so the supervised period included real peak data. Assessment note delivered in Bahasa Malaysia.

Outcome note Assessment concluded June 2025. Client has scheduled follow-up contact for November 2025.
Case Study 3

Coaching hours — navigating a tool pricing change

The situation

A home décor reseller had been using a customer messaging tool with an AI component. In April 2025, the tool changed its pricing structure, moving from a flat monthly fee to a per-message rate. The owner was unsure how this affected her costs and whether to continue.

What happened in coaching

One coaching session (approximately 70 minutes) worked through the actual per-message cost against her typical monthly volume, identified two alternative tools with flat-rate pricing, and discussed what migrating would involve. The session also covered a separate question about a customer complaint regarding a cold-sounding auto-reply.

Outcome

Client decided to stay on the current tool for six months and review. The reply wording was adjusted based on the session discussion. Three further sessions have been used from the block — on other, unrelated questions that came up week by week.

Client note (July 2025) "I have three more hours left in the block and I am not saving them for anything. I will use them on whatever comes up next month."
