We do not start with a tool and work backwards to justify it. We start with your week — specifically, with the parts of it that consume more time than they should. Then we assess whether any existing AI tool addresses that specific load, and whether the cost of introducing it (in money, setup time, and staff adjustment) is less than the cost of continuing as you are.
For some businesses, the answer is a clear yes. For others, it is a clear no. For many, it is a narrower version of yes: not the broad transformation that gets advertised, but a single repetitive task handled more reliably. We are comfortable with all three outcomes.
Our process, in order
Before mentioning any tool, we ask about the week: what takes longest, what gets delayed, what staff spend time repeating.
We look at existing systems — the order spreadsheet, the messaging channel, the customer records — and assess what can actually connect to what.
Every assessment produces a two-page note. "Yes", "no", or "not yet" — with reasoning. You keep this regardless of what you decide to do next.
If setup proceeds, we supervise the tool for two weeks before anything runs without us checking it first.
Starter Assessment
A short engagement for owners who are not sure this is for them at all. Over two visits we look at your week, ask where the time actually goes, and give you a straight answer on whether adding software would help, help a little, or simply add another thing to maintain. Roughly one business in four is told to wait, and we would rather say that early than sell an arrangement that sits unused. You receive a two-page note either way.

How it works, step by step
Order Status Assistant
An assistant that answers "where is my order" from your own delivery and order records, so staff stop retyping the same reply forty times a week. It gives the status it can see and says clearly when it cannot see anything rather than offering a comforting guess. Setup covers connecting to your order system or sheet, agreeing the wording customers receive, and a fortnight of checked replies before it answers on its own for the question types you approve.

Setup process
Coaching Hours
A block of eight coaching hours, drawn down whenever you need them over six months, for owners and staff working out this territory as they go. Sessions run by video or at your premises, on whatever is in front of you that week: a reply that read coldly, a tool that changed its pricing, a member of staff who is uneasy about the whole thing. Unused hours carry over once, and we tell you when a question would be answered better by someone else.

Data handling agreed before work begins
For the Order Status Assistant, we confirm data handling terms before connecting to any system. We do not retain copies of your customer records.
Limits named upfront
Coaching hours carry over once. The Order Status Assistant declines unknown queries. We state these clearly at the start — not in fine print after you have committed.
Realistic timelines
We give honest estimates. If something is running over, we say so early rather than after the delay has already happened.
Staff concerns treated as information
When staff are uneasy about a tool, that is a signal about the business, not a problem to manage. We address it as part of the engagement, not around it.
